Check-in and check-out

In Shifts you record with one click when your shift starts and ends. Times flow into Reports as net hours (stamped time minus break).

Overview

  • Check in — one click to start
  • Check out — one click to finish; the time is saved immediately
  • Comment — optional after check-out, and you can overwrite it
  • Break — more than six hours stamped stores a 30-minute break
  • Shown on the shift in the calendar (→ in, ← out)

Check in

  1. Open Shifts from the menu
  2. Check in at the top of the calendar
  3. Click Check in
  4. Success message

When the button appears:

  • Only if you have a shift today that does not already have a closed stamp
  • With multiple shifts: first the one you are already checked into, then the in-progress open shift, otherwise the next start
  • A shift you already checked out of is skipped — you can check in to the next shift
  • You cannot check in again to the same shift after check-out. Only someone with management rights can correct it
  • Icon: log-in style

After check-in

  • Time is saved
  • Button switches to Check out
  • On the shift you see → HH:MM (your local time zone) and a dot while you are still checked in

Check out

  1. Check out at the top (after check-in)
  2. Click — check-out is saved immediately
  3. A dialog opens: in, out, break, hours today (duration minus break)
  4. Optionally write a comment and save, or close

After that, Check in only appears if you still have another open shift today. On the shift you also see ← HH:MM.

Use the comment for things like “no break” or “left early”. In v1 you may overwrite your own comment.

Break

  • Exactly 6:00 stamped: no automatic break
  • More than 6 hours: 30 minutes stored on the entry
  • Hours today in the dialog is stamped time minus that break
  • Older rows without a break stay at 0 minutes

Multiple shifts on the same day

The system picks the shift for the button using these priorities:

  1. A shift you are already checked into (not yet checked out)
  2. A shift that is in progress and does not already have a closed stamp
  3. The next still-open shift whose start is closest to now

Example: Shifts 08:00–12:00 and 12:00–16:00 — at 11:30 the 08:00 shift is used because it is still in progress. After you check out at 11:30, the button moves to the 12:00 shift.

Corrections by a manager

Anyone who can manage the department sees a pencil next to the delete X after double-clicking a shift.

  • Add a missing stamp (times, break, manager note)
  • Correct an existing stamp (in, out, break, manager note)
  • Read the employee comment; they cannot overwrite it
  • Closed attendance cannot be reopened

Calendar

Example:

Your name
→ 08:15
← 17:30

Your own shifts have a ring; while you are checked in the tile fill is stronger. A speech-bubble mark means there is a comment.

Permissions

Team member: check in/out of own shifts and write their own comment.

Admin / team member with management rights: the same for their own assigned shifts; create and correct attendance for the department.

Not possible: check in/out for other people.

Tips

  • Make it a habit: check in at start and check out at end
  • Refresh the page if the button is missing
  • Otherwise: ask your admin or support

Messages (examples)
